When to export rental records as PDF, Excel or CSV

An export is useful when rental information needs to leave the app for review, archiving or further work. The right format depends on what happens next. A finished report, an editable spreadsheet and a raw data file solve different problems.

Use PDF when presentation and readability matter. Property summaries, maintenance histories and selected tenancy records are easier to review when headings, dates and context stay in a consistent layout. PDF is usually the best choice for sharing a report that should not be casually rearranged.

Use Excel when the recipient needs to filter, calculate or annotate the information in a familiar spreadsheet. It suits portfolio work, payment review and operational reporting where multiple sheets, formatting and formulas can make the data easier to work with.

Use CSV when portability matters most. CSV is a simple table format that works well for importing records into another system or keeping a lightweight archive. It does not preserve report styling, multiple sheets or complex formatting.

Before exporting, choose the correct report and property when the report requires one, then review the file for unnecessary personal information. An export is a snapshot. Changes made later in Tensu will not automatically update a file that has already been downloaded.
