This Privacy Policy explains how Tensu (“Tensu,” “we,” “us” or “our”) handles personal data when you use the Tensu website, mobile application, web dashboard and related services (together, the “Service”).
This Policy describes our current practices at a general level. A feature-specific notice or consent screen may provide additional information when you use that feature. If the two conflict, the more specific notice applies to that processing.
1. Who is responsible for your data
Tensu is responsible for the personal data described in this Policy unless another notice says otherwise. Questions and privacy requests may be sent to privacy@tensu.app.
Landlords and tenants may also enter personal data about each other. Depending on the circumstances and applicable law, that user may have separate responsibilities for the information they choose to collect or share through Tensu.
2. Information we collect
We collect information you provide, information created through your use of the Service and limited technical information needed to operate and protect it.
Account and profile information
This may include your name, email address, telephone number, profile image, language, country, role, notification settings and authentication identifiers.
Property and tenancy information
This may include property addresses, lease dates and terms, rent and deposit records, utility information, notices, maintenance requests, inspection records and the people associated with a property or lease.
Documents, media and communications
We process files, photos, videos, notes, messages and other material that you upload or send. Examples include leases, receipts, invoices, utility bills, inspection photos and maintenance evidence.
Rental Passport and verification information
If you use verification or Rental Passport features, we may process identity and verification details, verification status, selected rental history and sharing activity. An identity-verification provider may collect additional information directly from you under its own notice. Tensu should receive only the information needed to provide and record the verification result.
Subscription and transaction information
We may receive your plan, subscription status, renewal date, product identifier and limited transaction information from an app store or billing provider. We do not receive full card details when the payment provider handles checkout.
Device, usage and support information
This may include device and browser type, operating system, app version, IP address, approximate location inferred from IP, session data, feature interactions, crash information, security logs and the content of support requests.
Tensu records information about rent or other tenancy payments that users make outside the Service. Tensu does not process the rent payment itself.
3. Why we use personal data
We use personal data to:
- create and secure accounts;
- provide properties, leases, rent records, documents, maintenance, inspections, messaging and Rental Passport features;
- show shared records to authorized participants;
- manage subscriptions and provide billing support;
- respond to questions, complaints and privacy requests;
- send service messages and user-controlled notifications;
- understand feature performance and improve the Service;
- detect abuse, investigate security events and enforce our Terms;
- keep appropriate business, transaction and audit records; and
- meet legal obligations and establish, exercise or defend legal claims.
Where data-protection law requires a legal basis, that basis may be performance of our contract with you, our legitimate interests in operating and protecting the Service, compliance with a legal obligation or your consent. The applicable basis depends on the data, purpose and jurisdiction. You may withdraw consent for future processing where consent is the basis.
4. How information is shared
With other users
Information is shared when a feature requires it or when you choose to share it, for example with a tenant or landlord connected to the same lease, participants in a conversation or a recipient of a Rental Passport link. Review the selected audience before sharing sensitive information.
With service providers
We use providers for functions such as authentication, hosting, database and file storage, identity verification, subscriptions, analytics, error monitoring, notifications and abuse prevention. They process information for the service they provide to Tensu, subject to their contractual and legal obligations.

For legal, safety or business reasons
We may disclose information when reasonably necessary to respond to lawful process, protect users or the Service, investigate misuse, enforce agreements or support a corporate transaction. Any successor would remain responsible for handling personal data under applicable law.
We do not sell personal data. We do not use personal data for third-party behavioral advertising.
5. Rental Passport sharing
A Rental Passport is intended to be a limited, read-only summary. The account holder chooses when to create a share link and should review the visible information before sending it.
Expiry and revocation can prevent later access through the link. They cannot delete information that a recipient has already viewed, downloaded, photographed or otherwise copied. Do not share a Passport with anyone who does not need it.
Tensu does not use the Rental Passport as a credit score or as a solely automated decision that produces legal or similarly significant effects.
6. Storage, security and international processing
We use administrative, technical and organizational measures intended to protect personal data. These may include encrypted connections, access controls, restricted file access, logging and provider security controls. No service can guarantee absolute security.
Our providers may process information in countries other than your own. Where applicable law requires safeguards for an international transfer, we use an available lawful mechanism appropriate to the transfer. Contact us for more information about a transfer relevant to your data.
7. How long we keep information
We keep personal data only for as long as reasonably needed for the purposes described in this Policy. The period depends on the type of record, account status, shared tenancy context, security needs and legal, tax, accounting or dispute-resolution requirements.
When data is no longer needed, we delete it, anonymize it or isolate it from ordinary use. Backup copies may remain for a limited period until overwritten under the relevant backup schedule.
Deleting an account does not necessarily delete every shared record. Another user may have a legitimate need or legal basis to retain a tenancy record that also concerns them. Where appropriate, we may remove or disassociate the deleted user’s profile information while preserving the shared record.
8. Your choices and rights
Depending on applicable law, you may be entitled to request access, correction, deletion, restriction, objection or portability, and to withdraw consent. These rights are not absolute; for example, deletion may not apply where information must be kept for a legal obligation or legal claim.
You can manage some profile, notification and sharing settings in the Service. To make a privacy request, email privacy@tensu.app. We may ask for information needed to verify your identity and protect the account. You may also have the right to complain to the data-protection authority in your country.
9. Account deletion
Use the available account-deletion control or contact privacy@tensu.app. Before requesting deletion, download any records you need and cancel paid subscriptions through the provider that bills you. Deleting a Tensu account does not automatically cancel an app-store or third-party subscription unless the relevant flow expressly says it does.
We will explain if particular information cannot be deleted immediately and, where appropriate, the reason and expected handling of that information.
10. Children
The Service is intended for adults who can enter into rental and service agreements. It is not directed to children. If you believe a child has provided personal data to Tensu without an appropriate basis, contact privacy@tensu.app.
11. Cookies and similar technologies
The website and dashboard use cookies and similar technologies for operation, preferences and, where enabled, measurement. See the Cookie Policy for categories and available controls.
12. Changes to this Policy
We may update this Policy as the Service, providers or legal requirements change. We will post the revised version and update the date above. If a change materially affects how we use personal data, we will provide additional notice when required.
