Payment questions often surface long after the transfer itself. By then, a bank reference such as “March” may not explain which property the payment covered, whether utilities were included or whether the recipient accepted the amount as full rent.
A useful record combines the transfer evidence with context: the payer and recipient, rental property, period covered, amount, payment date and any agreed adjustment. Keep the original receipt or statement; a note entered into an app is not a substitute for evidence from the payment provider.
Confirmation helps both sides acknowledge the same record. It should not be treated as proof that cannot be challenged, and it does not determine a legal dispute. If a detail changes, preserve enough context to explain the correction.
The practical habit is simple: record payments while the details are fresh, use consistent references and review disputed entries promptly. Do not upload a full bank statement when a redacted transaction receipt provides the information needed.
